Osteria Panzano is operated by BC SEOUL LIMITED, company number 16606829. Our registered office is 5 Market Yard Mews, 194–204 Bermondsey Street, London, United Kingdom, SE1 3TQ. We are the controller of personal information we use to handle enquiries, manage our restaurant reservations and consider job applications.

This notice explains how we use information collected through our website, event enquiry form, reservation service and recruitment emails. For privacy questions or requests, contact reservations@osteria-panzano.com or write to our registered office.

INFORMATION WE COLLECT

  • Enquiries: your name, email address, telephone number, preferred event date and time, number of guests, occasion and the message you send us.
  • Reservations: contact details, booking date and time, party size, correspondence and booking information you provide through SevenRooms or directly to us.
  • Job applications: your contact details, CV, employment and education history, introduction and correspondence about your application.
  • Website use: technical information such as IP address, browser and device details, pages visited, timestamps and cookie choices, collected through our hosting and service providers. Optional analytics depends on your cookie choices.

Please provide only information relevant to your request. Do not include payment card details, identity documents or sensitive information such as health information in our general event enquiry form. If you need to discuss an allergy or accessibility requirement, contact our reservations team so we can arrange an appropriate way to assist you.

WHY WE USE YOUR INFORMATION

  • Event enquiries and reservations: to respond, prepare proposals, arrange bookings and provide the services you request. We rely on taking steps at your request before entering a contract and performing that contract. For general correspondence or someone booking on behalf of a group, we rely on our legitimate interest in responding to customers and organising restaurant services.
  • Recruitment: to assess your suitability, communicate with you and take steps towards an employment contract at your request. We also rely on our legitimate interest in managing recruitment and retaining relevant evidence where needed for legal claims.
  • Website operation and security: our legitimate interests in running a reliable website, preventing misuse and resolving technical problems. Non-essential cookies are used with your consent.
  • Legal requirements: to meet applicable accounting, tax and other legal obligations, and our legitimate interest in establishing or defending legal claims.

Providing information is generally voluntary, but we may be unable to respond, arrange a booking or consider an application without the relevant contact and request details. Our website currently has no newsletter signup, Google Analytics or Meta/Facebook advertising tracking.

WHO RECEIVES YOUR INFORMATION

Information is available to authorised staff and people supporting our enquiries, bookings and recruitment. We use Squarespace to host the website, Formspree to receive and deliver event enquiries, SevenRooms to manage reservations, and email and IT providers to communicate and store records. Relevant information may also be shared with professional advisers or authorities where necessary for legal obligations or claims.

Reservation links take you to SevenRooms. We remain responsible for our use of guest information; SevenRooms processes reservation information for us and also explains its own activities in its privacy policy. Links to Instagram and Google Maps take you to separate services whose own privacy and cookie notices apply.

You can read the providers’ notices here: Squarespace, Formspree and SevenRooms.

INTERNATIONAL PROCESSING

Our service providers may process personal information outside the UK, including in the United States. Where UK transfer restrictions apply, appropriate protection is required, such as UK adequacy regulations or approved contractual safeguards, including the UK International Data Transfer Agreement or UK Addendum where applicable. Contact us for details of the arrangements relevant to your information and how to obtain a copy of applicable safeguards.

HOW LONG WE KEEP INFORMATION

We retain personal information only for as long as needed for the purpose for which it was collected, taking account of legal obligations and relevant claims.

  • Enquiries that do not become bookings: normally deleted within 90 days after the enquiry is closed, unless relevant information is needed for an unresolved complaint or legal claim.
  • Unsuccessful applications: reviewed 90 days after the recruitment decision. Information no longer needed is deleted; relevant records may be retained for the period necessary to address recruitment-related claims, taking account of applicable time limits and any ongoing dispute. Keeping an application for future vacancies would be discussed with you separately.
  • Confirmed bookings and transactions: retained for the period needed to provide the service, handle queries or complaints, and meet applicable accounting, tax and legal requirements. We consider the nature of the record, outstanding obligations and relevant claim periods when deciding when to delete it.
  • Technical records: retained according to their security or operational purpose, provider settings and applicable cookie lifetimes. Cookie preferences can be changed using the website’s cookie controls.

COOKIES

Our Squarespace website uses cookies and similar technologies. Essential cookies support functions such as security and remembering privacy choices. Optional analytics and performance cookies help understand website use and are restricted until you accept them through the cookie banner.

You can accept, decline or manage optional cookies through the banner and change your choice later through the cookie preferences control. You can also manage cookies in your browser; blocking essential cookies may affect site functions. See Squarespace’s cookie information for cookie names, purposes and durations. Separate services opened through external links use their own cookie controls.

YOUR RIGHTS

Depending on the circumstances, you may request access to your personal information, correction, deletion, restriction of processing or a portable copy of information you provided. These rights are subject to legal conditions and exceptions.

Your right to object: you may object to processing based on our legitimate interests for reasons relating to your particular situation.

Where we rely on consent, you may withdraw it at any time, without affecting the lawfulness of earlier processing. Use the cookie preferences control for optional cookies or contact us for other requests.
